Create an invoice

Build an invoice for a member from unpaid charges or a custom line.

The invoice is saved as a draft first. Send it when the details look right. Billing one member’s existing fees from their record is in Bill a member.

Start the invoice

  1. Open Financials.

  2. Select Invoices.

  3. Select Create.

The dialog title is Create invoice.

Fill in the invoice

Customer searches members. Type at least two characters, then select the member. Change picks someone else. Invoice no. is assigned when the invoice is saved.

Terms starts at Net 30. The other choices are Due on receipt, Net 7, Net 14, Net 90, and Custom. Invoice date defaults to today. Due date follows the terms. Changing the due date switches the terms to Custom.

Line items needs at least one row.

  • Add unpaid charge lists charges already on that member’s account. Select one to add it.

  • Custom charge asks for a description and an amount, then Add.

Remove a line with the button on that row. Total updates as you add lines.

Message is an optional note included with the invoice.

Select Review and send. The page confirms Invoice saved as a draft.

Send it

The review shows the invoice number, Bill to, dates, terms, and lines.

  • Send invoice emails the member.

  • Keep as draft leaves it on Unsent.

Billing emails must be on under Settings → Society details → Communication. When that category is off, the invoice is not emailed.

A saved draft also appears under Unsent. Select it and use Send Invoice(s) to email it later.

After it is sent

View/Edit opens Edit invoice for the due date, note, and charges. Select Save invoice.

Receive payment records money against the invoice. Enter the payment date, method, reference number, and amount received, then select Record payment. Methods are Manual, Check, Wire, Other, Standing order, and Card.

A paid invoice can be printed from Print.
