Set up membership dues

Set the renewal date and the fee for each membership type.

Last updated 1 day ago

Open Settings, then Society details, then Membership Settings.

Registration and transfer charges are on Member Fees. Those steps are in Set up registration fees and Set up transfer fees.

Renewal schedule

Renewal schedule sets when a membership expires.

Schedule type has two choices.

  • Fixed annual renewal (Recommended). Memberships renew on the same date each year. The hint reads Memberships renew on the same date each year, such as December 31.

  • Anniversary renewal. Memberships renew one year after the member joined.

For a fixed date, Renewal date is a month and a day. It starts as December 31.

Prorate new memberships appears only for a fixed date.

  • No — charge the full annual fee is the starting choice.

  • Yes — prorate based on time of year reduces an annual fee for a new member according to how much of the year is left before the renewal date. The charge is labeled Annual membership fee (prorated).

Proration applies to Annual billing. Monthly and one-off fees stay at the amount you enter.

Membership types

Membership types is the list members are assigned to. Each row shows the type name, how many members use it, Billing, and Fee.

Billing is Annual, Monthly, or One-off.

Enter the Fee for that type. A fee of 0.00 does not create a membership charge.

A type whose name includes Lifetime starts as One-off. Its fee can be edited on One-off. On Annual or Monthly, that fee is not charged.

Drag a row to change the order. The page confirms Membership type order updated.

Add or edit a type

Select Add type. The dialog is New membership type.

  1. Enter Name. The placeholder is e.g. Active, Lifetime, Honorary.

  2. Maximum age (optional) limits the type to that age or younger. The placeholder is e.g. 17 for junior membership. Leave it blank when there is no age limit. When an age is set, an applicant must provide a date of birth.

  3. Junior type marks a youth membership. These members can follow different society rules than standard members.

  4. Select Create type.

The page confirms Membership type saved. The pencil button opens Edit membership type. Select Save type there.

Delete type asks Delete membership type with the type name. A type that members already use cannot be deleted. The page names the type and how many members use it.

The empty list says No membership types yet. Add types to define how members are classified and priced.

Save

Select Save membership settings. The page confirms Membership settings updated.

Creating, editing, deleting, and reordering a type saves on its own. The renewal date, proration, billing period, and fee wait for Save membership settings.

The saved fee is used the next time a membership fee is created. That happens when you invite a member or approve an application, unless Exempt from membership fees is turned on. Those steps are in Invite a new member and Add a new member. A fee already on a member’s account keeps its original amount. Sending or recording that fee is in Bill a member.
