Registering a new animal

Register animals for a member and submit them for approval.

Register one or more animals for a member from the admin dashboard. The records are saved as a draft, reviewed, and then submitted for approval. They are not fully registered until someone approves them in To Process.

Open the registration page

  1. Open Registry in the dashboard sidebar.

  2. Under Registration, select Register animal.

The page title is Register new animal. If your organization uses a different animal word, the title follows that word.

Start or resume a draft

The first screen lists open drafts.

  • Select Start new when this is a new batch.

  • Select Resume to continue a draft. The draft reopens on the animal table, or on review if you had already continued.

  • Select Discard to delete a draft you no longer need.

Cancel returns to the animal list without starting a draft.

A draft stays open until you submit it or discard it. You can leave and come back later.

Choose the owner and breeder

On the animal table, set Owner and Breeder before you continue. Both are required.

Select the name to search members. If the owner is the same person as the breeder, open Owner and select Same as breeder.

These two people apply to every row in the batch. The breeder’s flock prefix is used in the animal’s display name. Co-owned animals can list additional owners on their own row.

Enter the animals

Each row is one animal. Blank rows are ignored. Select Add row for one more row, or open the menu beside it and select Add 5 rows.

Name

The animal’s name. Required. The display name on review uses the name format from Animal Record Settings, including the breeder’s flock prefix when that format includes it.

Sex

Required. The choices use the sex labels from Animal Record Settings.

Scrapie tag

Optional.

Farm tag

Optional.

Date of birth

Required. The column name follows your field label.

Litter size, Conception, and Ease of birth

Shown only when those fields are turned on in Animal Record Settings.

Sire

Search for the sire. Optional. A missing sire is flagged on review and does not block submit.

Dam

Search for the dam. Optional. A missing dam is flagged and does not block submit.

Documents

Optional Excel (.xlsx, .xls) or PDF files, up to 15 MB each.

Images

Optional image files, up to 10 MB each.

Birth notify

Check this to submit the animal as a birth notification instead of a full registration.

Select the trash icon on a row to remove it. To remove several rows, select their checkboxes and then select the trash button above the table.

Co-owned animals

Open the Add row menu and select Add co-owned, or select Add co-owned animal under the co-owned table.

A co-owned row has the same animal fields, plus an ownership list. Add each owner and a percentage. Percentages must total 100%. Administrators can include a non-member in that split.

Continue to review

Select Continue. Owner, breeder, and at least one animal are required. Each animal needs a name, sex, and date of birth. The draft is saved, and the page shows Review before submit.

The review table is read-only. Select Edit records to change the animals, owner, or breeder, then continue again.

A mark on a cell explains a problem:

  • Name, Sex, and Date of birth must be filled in.

  • The same flock name and animal name cannot appear twice in this batch.

  • That name cannot already be registered.

  • A missing sire or dam is a warning. You can still submit.

  • If the dam was under one year old on the animal’s date of birth, the dam cell is flagged. That warning does not block submit.

Submit records stays unavailable until the checks finish and every blocking problem is fixed. The line under the table shows how many animals will be submitted.

Submit

Select Submit records. Keep the page open while Submitting for processing is shown.

When it finishes, you return to the animal list. The confirmation tells you how many animals were submitted for approval.

Each animal is created with a pending registration. It is not registered, and no registration fee is charged, until the request is approved.

To Process → Registrations. Approving it registers the animal and can charge the registration fee.

Checked

To Process → Birth notifications. This is a birth notification for review, not a full registration.

If some rows fail, the message names those rows. The animals that succeeded are already submitted. Fix the remaining rows and submit again.
